Staff scheduling that tells you where someone is still missing
You record how many people each site needs and when. Jobilino works out the open slots, suggests a name for every one of them together with the reasons behind it – and will not let you assign anyone who lacks the qualification your client requires.
In Jobilino, staff scheduling means: who works on which day, in which time window, at which site – and on what task. It is more than a shift grid, because the place of work is planned along with it, and it is something other than dispatch, because no vehicles are allocated. Planning and time tracking stay separate records: planned is not worked.
Why building next week's plan takes all of Friday afternoon
Not because entering it is hard. Because the facts you need for it sit in six different places:
How Jobilino plans: demand, suggestion, control
Three building blocks that build on one another – and every rule lives on the server, not in the interface.
It starts with demand. For each site you record how many people are needed on which weekdays and in which time window – optionally with the qualification the client requires and the matching assignment template. For the first time the system knows what a complete plan looks like. A site nobody has been assigned to now stands out; before, it was inconspicuously empty.
From that come the open slots. The day plan shows “3 of 4 covered” per site and a dashed row for the missing assignment – clickable, and a drop target for the person you drag onto it. Open slots are not records of their own: they are derived from demand and actual assignments, so the moment an assignment covers the demand in time, the slot is filled. Week and month count the same numbers.
The rest is handled by the planning assistant. “Fill the plan” looks for the right person for every open slot – first as a preview you accept or discard row by row. Every suggestion states its reasons: knows the site, qualification valid, still has room this week, has rarely been on weekend duty lately. Anyone who is not eligible appears with exactly that reason – leave, overlap, missing qualification, client exclusion, daily or weekly working-time limit. Suggestions follow fixed rules: the same starting situation produces the same suggestion, and each one can be explained.
And all of it is checked on the server, not in the interface. An absent employee, an employee blocked for this client and a missing qualification the client requires are hard limits: the assignment cannot be created, and the reason is named – when creating just as when moving, copying, repeating and auto-filling. Rest periods, the daily working-time limit, contracted weekly hours and public holidays, by contrast, are advisories: they speak up while you plan but do not block. The decision stays with you.
