A salary advance is an advance from the employer against the next paycheck – Jobilino does not provide any funds, it organises the process: request, decision, payout and proof. The module runs entirely digitally, from the request in the employee app to the documented receipt in payroll.
Why Salary Advances Create Friction in the Workplace
The request itself is straightforward – the process around it often isn't. In most organisations, a salary advance works like this:
- The employee asks verbally – and later nobody knows whether anything was promised, or what
- The request goes by WhatsApp to one person who happens to be on a site
- Two managers independently approve the same advance
- The cash payout is signed for on a slip that nobody can find in December
- Payroll only notices at month end that an advance has to be deducted
- A request dated 5 April actually belongs to March – and that is often spotted too late
How Salary Advances Work with Jobilino
A clear, transparent process – from the request on the phone to the digital receipt.
The employee opens the Jobilino app and submits a request: amount and payment method (cash or bank transfer) are required fields, while a reason is optional. That's all it takes – the request is submitted in under a minute.
The request is sent instantly to all authorised approvers, not to a single person who may be out on site. Anyone with the appropriate permission can approve, decline or adjust the amount – for example, if 150 is approved instead of the requested 200, this is a standard outcome, not an exception. The first decision closes the case, preventing two people from independently approving the same request. The employee sees the outcome immediately in the app.
For cash payments, the employee actively confirms receipt in the app. This confirmation – amount plus timestamp – serves as the digital proof of payment, replacing any handwritten note. For bank transfers, the process is complete once the disbursement has been recorded.
The payroll month is suggested automatically (the month in which the request is submitted) and can be adjusted – this matters because payroll typically closes around the 15th of the following month, meaning a request submitted on the 5th of April may still belong to March. Every correction is logged.
What this changes in day-to-day operations
A short route instead of a trip to the office
Anyone working on a site or in a building no longer has to drive to the office or catch someone for an advance. The request goes out from the phone and the answer comes back to it.
No double approval
The first decision closes the case. Two managers cannot independently approve the same advance, even if both open it at the same moment.
Partial amounts are a normal case
150 instead of the 200 requested: that is a regular action taken with one click, not a special case requiring a fresh request. The employee sees the adjusted amount straight away.
The receipt creates itself
For a cash payout the employee confirms receipt in the app. Amount and timestamp are documented – without a slip that has to be filed and found again in December.
Payroll knows in advance
Every advance carries a payroll month. At month end the list is ready, instead of somebody reconstructing from memory who received how much and when.
Still traceable months later
Who requested, who decided, who paid out and who confirmed is fixed with a timestamp. Because money is involved, these records are marked as sensitive and stay in the log.

Submit the request
The employee picks an amount and a payout method, cash or bank transfer. A reason is possible but not mandatory. As long as no decision has been taken they can withdraw the request themselves.

The right people are informed
The request goes to everyone allowed to process advances – not to one individual. The answer therefore does not depend on whether one particular person is reachable.

Decide
Approve, reject or adjust the amount. The first decision closes the case. The employee receives the outcome on their device immediately.

Pay out
The payout is recorded. With a bank transfer the case is then complete; with cash it waits for the employee's confirmation.

Confirm receipt
For cash the employee confirms receipt in the app. That confirmation is the digital record, and the person who paid out is notified about it.

One open request per employee
While an advance is still open, or approved and not yet paid, no second one can be requested. The rule is anchored in the database, not only in the interface.
Two payout methods
Cash or bank transfer. The difference is not cosmetic: only a cash payout then requires the employee's confirmation of receipt.
Adjustable amount
The requested amount is kept unchanged and the approved one recorded alongside it. It stays visible what was asked for and what was granted.
Payroll month with a correction option
The month of the request is proposed. Because payroll often runs into the following month, the month can be corrected while the case is still open – and every correction is logged.

Requesting is available to all employees by default. Processing and read-only access are rights of their own – so payroll staff can decide without being administrators.
Notifications in both directions
New request to those responsible, decision and payout to the employee, receipt confirmation back to the person who paid. Nobody has to chase anything.
Filter and export
The list can be filtered by employee, payroll month, status, payout method and period, and output as PDF, Excel or CSV – every export is logged.
In the employee app too
Submitting a request, viewing your own advances, withdrawing one and confirming cash receipt all work on the phone. Processing by the responsible people happens on the web.

A complete log
Request, decision, payout and receipt confirmation are each recorded with the person acting and the moment. None of it can be silently overwritten.
