AI staff scheduling: just ask your plan

Joby is the AI assistant in Jobilino's staff scheduling. It answers questions about your roster in plain language, finds cover, turns a sentence into a weekly plan and drafts jobs – without changing anything itself. AI processing takes place in the EU.

  • “Who can cover for Anna on Tuesday?” – an answer with reasons in seconds
  • A schedule from one sentence: people, days, times, site, duration
  • You confirm every suggestion – all planning rules still apply
  • AI processing in the EU

AI in staff scheduling does not mean, at Jobilino, that a program quietly rebuilds your roster in the background. It means you can ask your plan a question the way you would ask an experienced colleague – and get an answer based on your real data: absences, qualifications, client rules, weekly hours and distances. The decision stays with you.

Why scheduling takes so long when the data is already there

The information for a good decision is in the system. Pulling it together still takes time:

  • To find cover you check leave, qualifications, hours and distance by hand – person by person.
  • A recurring assignment over four weeks means twenty separate entries.
  • Whether next week runs smoothly only shows once you click through every day.
  • A new client calls, and “Who is free on Thursday?” costs a round of phone calls.
  • Classic scheduling software shows data – it does not answer questions.

What Joby does for your staff scheduling

Four tasks, one button at the bottom right of the planning board.

Overview of a period. One click and Joby summarises the chosen week or month: where slots are open, who has too many hours, where a rest period is getting tight – with suggested next steps. It builds on the checks Jobilino already runs for every plan; the AI turns them into a readable summary.

Questions about the plan. “Who could cover for Anna on Tuesday without going into overtime?” Joby searches the data you would be allowed to see yourself – availability, qualifications, client exclusions, weekly hours – and answers with cards: hand over an assignment, open a day, show candidates. Every card asks before anything changes.

Planning by sentence. “Schedule Anna and Ben Mon–Fri 06:00–14:00 at the Station site for 4 weeks.” This becomes a prefilled form with every visit. You see what would be created and save – or correct it first. If Joby cannot match a person or site unambiguously, it says so instead of guessing.

Jobs and free slots. A client calls? Joby drafts the job on request and opens the job form already filled in. For every person it finds free gaps in the week, gives the distance to the site in kilometres and whether they already know the client. A new client is only suggested, never created automatically.

What Joby does not do: it changes nothing by itself. Absences, client exclusions and missing qualifications are hard limits that cannot be bypassed through the AI either – on saving, the server checks every rule again. Joby only sees the people and sites the planner in question is responsible for, and AI processing takes place in the European Union.

What AI actually brings to staff scheduling

Cover in seconds, not a round of calls

One question and you see who is free, qualified and not going into overtime – with the reasons.

Weekly plans from one sentence

Recurring assignments over weeks come from one instruction instead of dozens of clicks.

See problems before they happen

The overview names open slots, tight rest periods and overloaded staff for the whole period.

More jobs, fewer call-backs

Free slots per person including the distance to the client – while the call is still going.

People stay in control

The AI suggests, you confirm. No planning in the background, no surprises on Monday.

Data protection built in

AI processing in the EU, access limited to the planner's own scope.

How you work with Joby

  1. Open the board

Joby sits as a button at the bottom right of staff scheduling – in the browser, no extra software.

  2. Ask a question or write a sentence

For example “Which sites are short-staffed next week?” or “Schedule Ben Mon–Wed 7am–3pm at the North site”.

  3. Check the answer

Joby answers with reasons and cards for the next steps – or with a prefilled form.

  4. Confirm

Only your click changes the plan. Every rule runs again on saving.

Frequently asked questions about AI staff scheduling

What can the AI assistant Joby do in staff scheduling?

Joby summarises a chosen period with suggested next steps, answers questions about the plan in plain language – such as “Who could cover for Anna on Tuesday without going into overtime?” – and turns a sentence like “Schedule Anna and Ben Mon–Fri 06:00–14:00 at the Station site for 4 weeks” into a prefilled form. It drafts jobs on request and finds free slots per person. Joby is available on the web in staff scheduling as a bookable add-on.

Does the AI change the schedule on its own?

No. Joby suggests, you decide. Every answer ends in a card that asks for confirmation or in a prefilled form you review and save. On saving every rule runs again: absences, client exclusions and missing qualifications cannot be bypassed through the AI either. If Joby cannot identify a person or site unambiguously, it does not guess – it says so.

Where is the data for the AI assistant processed?

In the European Union. In addition, Joby only sees the people and sites the planner in question is responsible for.

Does the AI replace the planner?

No. Joby takes over the searching and gathering – who is free, who has the qualification, who still has hours left. People still make the decision: every change needs your confirmation, and your company's rules apply to the AI exactly as they do to any planner.

How is Joby different from the “Fill plan” planning assistant?

“Fill plan” works without AI, by fixed rules: the same starting situation always produces the same suggestion. Joby is the AI assistant alongside it – it understands questions and instructions in plain language, summarises periods and uses the same checks to do so. Both only suggest; nothing is saved until you confirm.

How do I get the AI assistant?

Joby can be booked as an add-on to staff scheduling and is used on the web. You decide through user rights which planners may use it.
