Job management: from the client's call to the invoice in one system

Book the job while the client is still on the phone. One-off or recurring, straight into staff scheduling, with a push notification to your staff. On site the visit is completed with photos and the client's signature – and completed visits flow into the invoice.

  • New job on one screen: client, site, rhythm, people
  • Recurring jobs every 1 to 8 weeks – no individual entries
  • Visit completion with photos, note and client signature in the app
  • Completed visits become invoice lines – one line per visit

In Jobilino, job management means a client job is not a note or a spreadsheet row but a series of visits in staff scheduling. Whoever takes the job sees it in the app, clocks in at the site and reports it done with proof. The office sees in the job list what is coming up, what is open and what can be invoiced. Job management is part of staff scheduling.

Where jobs get lost between the call and the invoice

In many service and cleaning businesses, jobs pass through four stations that do not talk to each other:

  • The client calls and the job ends up on a sticky note or in an e-mail.
  • Recurring jobs are re-entered week after week – until one is forgotten.
  • Staff hear about the visit by phone call or messenger.
  • The office only learns whether the visit was done when the client complains.
  • At month end visits are missing from the invoice because nobody collected them.

How job management works

One screen to book, one list to steer, one sign-off on site – and all the data stays connected.

Book the job – while still on the phone. You pick the client or create them on the spot. Jobilino suggests the client's address as the site and remembers it for next time; another address becomes a new site. Add a title and notes, then choose: one-off or recurring – every one to eight weeks, ending never, on a date or after a number of visits.

Assign people – or later. You choose who takes the job and see their week next to the form with a preview of the new visits. A double booking is flagged before saving. If you do not know yet who will go, choose “Assign later” and the number of people needed – open slots then appear on the planning board. Optionally enter a price per visit that only finance can see.

Staff know straight away. After saving, the assigned people get a push notification and the site is unlocked for them so they can clock in there. The visits are ordinary staff-scheduling assignments – so absences, qualifications and client exclusions apply here too.

Complete the visit – with proof. On site the employee reports the visit done in the app: with a note, photos and, if wanted, the client's signature right on the screen. This produces a PDF proof of service in the client's language, and the office is notified that the visit is ready to invoice.

Job list and invoice. The job list shows, per client and site, the next visit, the rhythm, open slots and what is still to invoice – filtered by Active, Open visits, Ended and To invoice. Completed visits with a price become invoice lines in one click, one line per visit.

What job management brings day to day

No job gets lost

What is agreed on the phone is in the plan as a visit immediately – not on a note.

Recurring work plans itself

A job every two weeks is booked once and runs until you end it.

Proof instead of debate

Photos, time and the client's signature show that the service was delivered.

Faster to the invoice

Completed visits collect under “To invoice” and become invoice lines.

Staff know what to do

Push notification, job notes and site in the app – in the employee's own language.

One system instead of four

Jobs, staff scheduling, time tracking and invoicing work on the same data.

Five steps from call to invoice

  1. Book the job

Client, site, title, notes and rhythm on one screen – during the call.

  2. Assign people

Assign directly with a weekly preview or place it as an open slot in staff scheduling.

  3. Inform staff

Push notification to those assigned, site unlocked for clocking in.

  4. Complete on site

Report it done in the app – with a note, photos and the client's signature.

  5. Invoice

Take over completed, priced visits as invoice lines.

Frequently asked questions about job management

How do new jobs get into the staff schedule?

Via “New job”: pick the client and site, choose one-off or recurring (every 1 to 8 weeks) and decide who does it – or choose “Assign later”, which creates open slots on the board. The visits are ordinary assignments to which every planning rule applies, and the assigned staff receive a push notification right away. Job management is part of staff scheduling at no extra cost.

Can I create recurring jobs?

Yes. A job can recur every one to eight weeks and ends never, on a set date or after a fixed number of visits. You book it once; the visits appear in staff scheduling automatically.

How do staff document a completed job?

In the app with “Report as done”: with a note, photos and, if wanted, the client's signature right on the screen. This produces a PDF proof of service in the client's language, and the office is notified that the visit can be invoiced. The signature is optional and not a precondition for invoicing.

How do completed jobs get onto the invoice?

If a job has a price per visit, completed visits collect under “To invoice”. When you create the invoice they are taken over as lines, one line per visit. Only people with access to finance can see the price.

What does job management cost?

Job management is part of staff scheduling and costs nothing extra. The AI assistant Joby, which drafts jobs from a sentence and finds free slots, can be booked as an add-on.

Does job management work in the app too?

Yes. Jobs can be booked and viewed on the web and in the Jobilino app, and staff complete their visits in the app under “My shifts”.
