Reports for Time Tracking, Inventory and Finance

Jobilino delivers a ready-made report catalogue – from hours, overtime and absences to project and client time, inventory levels and earnings. Every report is filterable, displayed as both a chart and a table, and exportable as PDF, Excel or CSV. And if your business needs a metric that doesn't exist yet, we'll build it.

  • Ready-made reports for working time, projects, inventory and finance
  • Custom reports built around your own key figures
  • Export as PDF, Excel and CSV – every run logged

All Jobilino reports at a glance: working time, absences, projects, clients, inventory and finance – ready to use, fully customisable and exportable in all common formats.

The data is there – just not where you need it

In most businesses, hours, material consumption and costs live in separate spreadsheets. Anyone who needs a reliable answer – absence rate, project margin, stock value – has to rebuild it in Excel every month. That takes days, and the numbers are rarely calculated the same way twice.

  • Timesheets, stock lists and invoices sit in separate systems
  • Every report is copied together by hand – with the risk of transcription errors
  • Mid-month, nobody knows whether a project is still within budget
  • Key figures such as sickness rate, overtime balance or stock value are missing or out of date
  • Figures for payroll, tax advisers and clients cannot be reconstructed afterwards
  • Standard reports never quite fit your own business – and there is nothing you can change about it

One reporting area for the entire business

Jobilino analyses the data that is generated naturally in the course of daily operations: every time entry, every material withdrawal, every invoice. You select the period and filters – the report calculates in real time.

The Reports section is a catalogue of ready-made reports. Open a report, set your period and filters — month, quarter, year or a custom date range, plus employee, team, project, client or location — and see the results instantly: a chart with the key insight at the top, followed by a table with row, column and grand totals.

Everything is driven by data from your time tracking, project time tracking, holiday and overtime accounts, and — if you use these modules — inventory management and financials. Nothing is maintained twice and nothing is cached: correct an entry and the correction appears in the very next report run.

If the catalogue does not cover your needs, you can extend it. Build your own reports from verified components, save recurring filter sets as named views and share them with your team. For requirements that go beyond this, we develop the report to your specification and make it available in your account. What sets Jobilino's reporting apart

Always the current state

Every report is calculated live from the recorded data. A correction made today shows up immediately in last month's report too – no nightly job, no reprocessing.

Chart and table

Above every table there is a matching chart: monthly trend, ranking or development. You see the message before you read the first row.

Traceable to the single booking

Every figure comes from actual time entries, stock movements or documents – nothing is estimated or extrapolated.

Permissions per role

Employees see themselves, team leads see their team, management sees the whole business. Wages, costs and purchase prices only with a permission of their own.

Export in any format

PDF for filing and signature, Excel for your own pivot tables, CSV for further processing in payroll and accounting software.

Logged for audits

Every run and every export is recorded in the change log together with the filters chosen – traceable for internal control and audits.

Four steps to a finished report

  1. Choose a report

Open the Reports area and pick a report from the catalogue – or one of your own.

  2. Set period and filters

Month, quarter, year or a free range, plus employee, team, project, client, location, entry type or item.

  3. Save and share a view

Save recurring filter sets under a name such as “Sickness Q3, cleaning team” and share them with colleagues. Next time one click is enough.

  4. Export and hand on

PDF, Excel or CSV – for payroll, tax advisers, clients or your own costing.

The report catalogue at a glance

Monthly employee report

Working time per employee and month including breaks, travel time and premiums for night, Sunday and public-holiday work.

Overtime analysis

Overtime accrued and taken per employee and period – so balances do not grow unnoticed.

Holiday overview

Used, reserved and remaining holiday days per employee and month, straight from the holiday account instead of a side list.

Sickness overview

Sick days per employee and month as a matrix with row and column totals.

Sickness rate

Sick days in relation to target working days, weighted across the whole workforce – the key figure for management.

Absence calendar

All planned absences as a calendar: who is away when, at a glance – the basis of every deployment plan.

Absence structure

Absence days by type – holiday, sickness, other – across the workforce, without naming individuals in the rows.

Headcount and full-time equivalents

Headcount and FTE per month, calculated from the stored contracts and the standard working hours of the respective country.

Project hours

Hours worked per project, contingent or task – the basis of every costing and every plan-versus-actual comparison.

Client hours

Hours worked per client and month – directly billable and usable as evidence towards the client.

Stock levels and movements

Stock list, movement ledger and stock value – exportable down to the single withdrawal, including stocktaking differences.

Material consumption per project

Which material was used on which site or in which building – including withdrawals not yet billed on.

Profit and loss

Revenue, expenses and staff costs per month, quarter or year – optionally grouped by client or project, so it becomes visible where the margin is.

Open items and due dates

Drafts, open and overdue invoices with amounts – you see immediately where your money is and what needs chasing.

Expenses and employee costs

Expenses by category and month plus staff costs per employee and year – the latter visible only to explicitly authorised people.

Trips and mileage

Mileage log analysis by vehicle, employee, project and period – as a basis for mileage allowance and billing on.

Custom reports: your metrics, your report

No two businesses are alike. That is why Jobilino does not stop at the catalogue — extend it yourself, or let us build the report for you.

Your own reports from building blocks

Pick the data basis, the rows (employee, team, project or client), the period columns and the measure – and your report is ready. It appears in the catalogue like any other report, with chart, export and permission checks.

Saved views

Set a filter set once, name it and share it with the team. Every run recalculates, the selection stays – monthly routines take seconds instead of half an hour.

A report to your specification

You need a key figure, a layout or an export file that does not exist yet? Describe the requirement to us – we build the report and enable it for your account.

Export formats for your systems

PDF, Excel and CSV come as standard. For payroll and accounting we provide matching export structures, for example for DATEV, BMD or Lexware.

Visible only to the right people

Every report follows your permission system. Amounts, wages and purchase prices appear only where you have explicitly released them.

Reuse your data elsewhere

Through the open interface you pull evaluated data into your ERP, your BI solution or your own dashboard – without a manual export in between.

Reporting across your industry

Here is how businesses with mobile teams use reporting in their day-to-day operations.

Frequently asked questions about reports

Which reports are included in Jobilino?

The catalogue covers working-time reports (monthly summary including premiums and surcharges, overtime analysis), absence reports (holiday and sick-leave overview, absence rate, absence calendar, absence breakdown), headcount reports including full-time equivalents, and project and client hours. If you also use the Inventory and Finance modules, stock, consumption, profit-and-loss and open-item reports are added automatically.

Can we create custom reports tailored to our business?

Yes. Using a set of verified building blocks, you can compose your own reports: choose the data source, the rows (employee, team, project or client), the time-period columns and the metric. The finished report appears in the catalogue just like any standard report – complete with chart, export and permission checks. For requirements that go beyond this, we build the report to your specification and activate it for your account.

In which formats can reports be exported?

Every report can be exported as PDF, Excel or CSV – always reflecting the exact filters you have applied on screen. PDF is ideal for filing and sign-off, Excel for your own pivot tables, and CSV for further processing in other systems. For payroll purposes, additional dedicated export structures are available to suit your payroll software.

Who can see which reports?

Reports follow your permission structure: employees see their own figures, team leaders see their team's data, and management has a view of the entire organisation. Particularly sensitive content – wages, staff costs, purchase prices – is tied to dedicated permissions and is only visible where you have explicitly granted access. This applies to exports as well.

How up to date are the figures in a report?

Every report is calculated in real time from the recorded data each time it is opened – there is no overnight batch run and no fixed cut-off date. If an entry is corrected retrospectively or a request is approved, the change is immediately reflected even in past periods. If you need a frozen snapshot, simply export the report at the relevant date and save it.

Can inventory levels and material consumption be analysed?

Yes, provided you are using the Inventory module. Reports cover stock lists, movement journals and stock values, as well as material consumption per project, site or client – including withdrawals that have not yet been recharged. Stock discrepancies and shortfalls are also visible and exportable.

Are there reports on revenue, costs and profit?

Yes, when you use the Finance module. The profit-and-loss report sets revenue, expenditure and staff costs against each other by month, quarter or year – optionally grouped by client or project. Additional reports cover open and overdue invoices, expenses by category, and staff costs per person per year.

Which plan includes reports?

Basic includes the real-time dashboard and CSV export. Premium adds Excel and PDF export as well as per-client and per-project reports. Business brings advanced reports with roles and permissions. Enterprise provides individually developed, custom-built reports. A full comparison is available on the pricing page.

Are the reports traceable for audit purposes?

Yes. Every figure can be traced back to the underlying entry, and every report view and export is recorded in the audit log along with the filter settings used. This makes it clear who generated which report, when, and with which parameters.
