How do we show the client that a shift was worked at the site?

Through the NFC tag in the building combined with the site allocation. The tag hangs physically in the building – whoever clocks in was there. Every entry carries the time, the duration, the site and, if you want it, the location. You export the breakdown per site as a PDF or Excel file and hand it to the client, instead of arguing about a night shift somebody doubts.

Do we have to keep the working-time record and the service record separately?

No, and that is what saves the most time here. A single entry produces both evaluations: the legally required working-time record for your company, and the site-based service breakdown for the client. Two separate lists that drift apart by the end of the month become unnecessary.

What record-keeping obligations apply to cleaning and security services?

Two at once. First the general obligation to record working time following the Federal Labour Court ruling of 13 September 2022 – the start, end and duration of daily working time. Second § 17 MiLoG, which requires building cleaning, construction, hospitality, logistics and further sectors to record within seven days of the work being done and to keep the records for two years. Digital recording meets both without extra effort.

Many floors in our high-rises have no network – does this work?

Yes. Entries are stored offline and transmitted automatically once there is a connection again – carrying the original time, not the time of transmission. In Frankfurt office towers, underground car parks and plant rooms that is the normal case. NFC entries work entirely offline as well.

How are night and weekend supplements worked out for round-the-clock services?

Automatically, from the actual entries. Using the rules you have set, the system recognises night, Sunday and public holiday hours and reports them separately, along with additional hours. For shifts running past midnight the time is split correctly across the periods affected, instead of being divided by hand at the end of the month.

How do we reach the team when a shift changes at short notice?

Through the built-in Staff Scheduling. You plan who is in which building and on which shift, then publish the plan – the team receives it as a push notification on their phone. If you change something later, that triggers a new notification, and you can see per person whether it was delivered.

Can we document quality at the site as well?

Yes. Alongside time tracking, site managers can carry out checklist-based quality inspections – with photos, defects, deadlines and, if you want, a customer signature. On completion the report is frozen as a PDF and archived. That gives you evidence of quality towards the client, not just evidence of attendance.

What about cleaners without a company phone?

How do the hours get into payroll?

Through the month-end close: check, release, export as Excel, CSV or PDF. A closed month is frozen; later changes go through a traceable correction route. That way a basis already paid out stays unchanged, even if something is corrected afterwards.
