Installing and setting up the Jobilino app on a phone

A step-by-step guide for employees and administrators. How your staff install the app, connect it to your company and sign in – via the setup link, a QR code or by typing the account. Including what to prepare in the back office, the language setting, and the points where this tends to stall in practice.

What setting up involves

  1. Three steps, about two minutes

    Install the app, connect it to your company, sign in. After that the person can clock in and out straight from their phone. No training is needed for it.

  2. The company account is the key

    The same app serves every Jobilino customer. So it first has to know which company it belongs to – that is the company account. Only then does the sign-in screen appear.

    Tipp: The setup link takes this step off your hands: it fills in the company account automatically, with nothing to type.

  3. The invitation comes first

    The person must already exist in Jobilino as an employee. The app itself does not create an account.

    Tipp: Anyone who registers anew in the app instead opens a second, empty company and will not find their hours there. That is exactly what the setup link prevents.

What to prepare in the back office

  1. Create and invite the employee

    Administration → Users → Add. The invitation goes out by email or SMS, depending on what is stored.

    Tipp: On construction sites and in the store not everybody has a work email address – there the mobile number is the more reliable route.

  2. Get the setup link and the QR code

    In the customer area open the „Mobile Apps“ page. There you will find your company's setup link, the matching QR code and a PDF handout for printing.

    Tipp: The page is reachable for every signed-in user, not only for administrators.

  3. Send the link or put up the handout

    You can send the link by SMS, WhatsApp or email. For teams who are hard to reach, print the handout and put it up – it shows the same three steps.

    Tipp: The link carries only the company account, no password and no personal data. It can be distributed openly and pinned to a wall.

  4. Check which sign-in methods are active

    Your staff sign in with a password, with a one-time code by email or SMS, or with either. Which methods are enabled for your company is visible on the app's sign-in screen.

    Tipp: Jobilino sets this for you; it is not a setting in your own administration. If you also want the one-time code – handy for teams without work email – contact support.

Installing the app

  1. Download it from the store

    On an iPhone search the App Store, on Android devices Google Play, for „Jobilino“ and install the app.

  2. Or scan the QR code with the phone camera

    The handout and the „Mobile Apps“ page carry one QR code per operating system. Open your phone's camera, hold it over the matching code and tap the link that appears.

    Tipp: No scanner app is needed for this – the ordinary camera is enough on every current device.

Connecting the app to your company

  1. The easiest route: tap the setup link

    Tap the link your company sent you directly on the phone. The app opens with the company account already filled in – there is nothing to type.

    Tipp: Install the app first and tap the link afterwards. The other way round only opens the web page.

  2. Or scan the QR code inside the app

    Open the app, tap „Scan QR code“ and hold the camera over your company's code. The company account is taken over automatically.

    Tipp: That is the route for the printed handout: the app is already installed and the code is on the wall.

  3. Or type it in by hand

    If neither works, type the company account exactly as your company gave it. It is printed on the handout below the QR code.

    Tipp: On devices without a usable camera this is the intended route – the app can be set up completely without one.

  4. This step needs an internet connection

    The app checks the company account online. Without a connection, saving and scanning are disabled and a notice appears.

    Tipp: That applies to setting up only. Clocking in later works without a network too and is submitted once there is a connection again.

Signing in

  1. Enter your email address or mobile number

    Sign in with the same credentials as in the web app. Depending on what your company stored, that is your email address or your mobile number.

  2. Sign in with a password

    The password comes from your invitation. If you have forgotten it, it can be reset from the sign-in screen.

  3. Or with a one-time code

    If your company has enabled it, you can also sign in without a password: enter your email address or mobile number and you will be sent a code – by email if you entered the email address, by SMS if you entered the number.

    Tipp: The code is valid briefly and only once. If it does not arrive, it can be requested again after a short wait.

  4. After that you stay signed in

    The sign-in lasts on this device until you sign out in the settings. So you do not have to enter credentials or a code again every morning.

Language and first steps

  1. Set your own language

    The app comes in 21 languages. Everyone sets their own – all texts, buttons and notices then appear in that language.

    Tipp: The evaluation in the back office is unaffected: it stays in your company language, no matter which language was used to clock in.

  2. Clock in once as a test

    Start and stop working time once as a trial. That shows immediately whether the sign-in holds and whether the entry reaches the company.

    Tipp: An accidental test entry can be deleted or corrected in the back office.

  3. NFC tags, if your company uses them

    If your company works with NFC tags at the site, simply hold the phone against the sticker – site and time are recorded together. No separate setup is needed for it.

When something does not work

  1. The company account is not found

    Usually a typo. Where possible use the setup link or the QR code – then nothing can be mistyped.

  2. The link opens the website instead of the app

    Then the app is not yet installed on that device. Install it first and tap the link again. The page that opens also shows the company account for typing in.

  3. The phone is already set up for a different company

    The app then asks before switching and names the company it would switch to. Switching signs out the current session.

    Tipp: If NFC entries are still waiting because there was no connection, the app points that out – and cancelling is preselected. Go online first so the hours arrive, then switch.

  4. Signing in fails

    Check that you are using the same email address or mobile number that is stored at the company. If that does not help, the person contacts their administrator, who can look up the account and reset the password.

Frequently asked questions

How long does setting up take per employee?

About two minutes: install the app, tap the setup link or scan the QR code, sign in. No training is needed, because starting and stopping working time are one tap each.

Does every employee need a company phone?

No. The app runs on private devices too. Anyone who does not want to use their private phone, or does not have one, clocks in at a terminal – a tablet in the workshop, the store or the yard – or via an NFC tag at the site.

What is the company account and where do I find it?

It tells the app which company it belongs to – the same app serves every Jobilino customer. You will find it together with the setup link and the QR code in the customer area under „Mobile Apps“, and it is also printed on the handout.

Can I distribute the setup link openly?

Yes. It carries only the company account, no password and no personal data. Only someone who already exists as an employee at the company can sign in with it.

Does clocking in work without an internet connection?

Yes. Only the first connection to the company needs a network. After that, entries made offline are stored on the device and submitted automatically once there is a connection again – carrying the original time, not the time of transmission.

My team speaks little German – is that a problem?

No. The app comes in 21 languages and everyone sets their own. The evaluation in the back office is unaffected and stays uniform, no matter which language was used to clock in.
